Unique systems that drive activity

OPTIMiSe is our proprietary suite of systems that drives activity and enhances visibility and control over contracts, assets, leases and procurements in the NHS. Fully web-based, OPTIMiSe requires no installation and is accessible wherever an internet connection exists.

Originally developed to support our own business, OPTIMiSe is the tool that enables us to actively and effectively manage contracts worth many hundreds of millions and manage thousands of procurements every year, including e-tendering. Our original design brief for OPTIMiSe was based on the premise that we had never met a database that actually did anything. As a result, it is no surprise that the focus of OPTIMiSe is getting things done.

A task-based system, OPTIMiSe uniquely links together assets, contracts, documentation and people and is designed specifically to drive collaboration, control and store documentation, and manage activity in a range of environments. A range of modules are available and successfully in use by our NHS clients. These include:

OPTIMiSe-LEASE

Designed to manage every stage of the leasing lifecycle, from tendering and contracting to extensions and end-of-life, OPTIMiSe-Lease is an invaluable tool both for Leaseguard and our clients. Based, as all OPTIMiSe modules are, on projects and virtual teams, OPTIMiSe-Lease drives the entire process and provides clients not only with direct access to both lease and asset data but also with simple decision bases to facilitate the most effective management of the leasing lifecycle.

OPTIMiSe-PROCURE

Designed to manage the procurement process, OPTIMiSe-Procure is a task based solution that brings together the broad range of people required to manage often complex procurement projects and drive them to timescale. For hard-pressed procurement teams OPTIMiSe-Procure provides an effective solution to the complexity and breadth of the procurement process.

OPTIMiSe-CONTRACT

It's easy to think of contracts as pieces of paper and contract management as an exercise in filing. But, to reduce costs to a minimum and exert effective control over contracts requires a much more pro-active approach. OPTIMiSe-Contract applies the task-based approach capabilities of OPTIMiSe to the process of managing contracts, ensuring that the right people do the right thing with the right contract at the right time. The result is that contracts are renegotiated in time, reducing rollover and providing the time and visibility required to reduce costs and maintain control.

OPTIMiSe-MAINTAIN

Supporting our Maintenance Lifecycle programme, OPTIMiSe-Maintain helps us to manage, negotiate and tender many thousands of maintenance contracts annually whilst also providing online access to our NHS clients to critical maintenance contract data, giving them much greater visibility and control over maintenance spend and enabling them to demonstrate compliance with asset maintenance regulations. In addition to the control that it brings, OPTIMiSe-Maintain also streamlines the entire procurement and approval process.

OPTIMiSe-INVEST

A Business Case development tool, OPTIMiSe-Invest improves accuracy and consistency of investment decisions by following a structured approach to ensuring that whole-lifecycle costs are accurately assessed. Not only does OPTIMiSe-Invest facilitate accurate Business Cases that are easily comparable, it also enables Trusts to establish value for money and to assess the most cost-effective means of financing any acquisition or expenditure, be it by cash, borrowing or leasing - adhering fully to NHS Capital and tender management regulations.
