Enhanced control. Improved governance. Reduced cost.

Equipment maintenance is a major expenditure area for Trusts, with expenditure usually equating to somewhere in the region of 3%+ of non-pay spend. This spend is normally dispersed across multiple suppliers, with often hundreds of different contracts - and with an array of stakeholders across the Trust, often with differing requirements and perspectives. If we add this to the ongoing changes to the asset base and inevitable movement of people within the Trust - and the need to minimise risk by renewing and restructuring maintenance agreements in a timely manner - then it is not hard to see why this is an area that is complex and difficult to manage, and one where driving cost reduction has historically proved very difficult.


Leaseguard’s Maintenance Lifecycle service solves this problem, delivering both savings and enhanced visibility and control over this whole area.  We have built a team with outstanding project management, account management and negotiation skills to achieve this, and have supported this by a massive investment in developing the systems needed to provide a sea-change in the way this whole area is managed. As of April 2009, we had a dedicated team of 13 people who delivered over £4m of savings in the last two years, and expect to treble this over the coming year.

The delivery of Maintenance Lifecycle is based on six key principles:

  1. We invest time and effort into building relationships with Trust users. We see it as critical to engage with users to fully understand their requirements and ensure that contracts are negotiated that fully meet these needs. We put significant and ongoing effort and resource into achieving this.
  2. We do not look to generate savings by reducing service levels or insisting on switching suppliers. We have proved that we can make savings by negotiating effectively and co-operatively with suppliers, bringing an imaginative approach to the negotiation and effectively consolidating, structuring, tendering and managing contracts. This will be our approach at your Trust.
  3. We understand that the complexity of the situation means that any solution has to be based around really effective systems. Which is we have invested considerably in developing our OPTIMiSe systems so that they provide a platform for us to effectively manage your portfolio of contracts, and to give Trusts complete visibility and transparency of exactly how we do this. By July 2009 Leaseguard will have over 10,000 maintenance contracts fully managed within OPTIMiSe.
  4. We need to drive decision making. Often a major problem is getting decisions made in a timely manner. Our entire approach - from the way our negotiators work with users to the way we communicate and present information via OPTIMiSe - drives timely and effective decision making.
  5. The Trust stays in control. Whenever we make a proposal for a contract change or renewal the Trust has complete control over whether it accepts or rejects that proposal. We are currently achieving an acceptance rate of over 95% of all proposals we put forward however - testament to the quality of the deals we negotiate and the relationships we build with decision makers.
  6. We don't cut corners. We conform fully with all the Trust's SFIs and EU guidelines and our tendering systems are fully compliant with all Public Sector, NHS and EU regulations.
